Role Overview
The Leasing Assistant supports the Leasing Manager and property management team by handling day-to-day leasing operations. This includes coordinating showings, processing applications, preparing leases, assisting tenants, and maintaining accurate leasing records. The role requires strong organization, attention to detail, excellent communication skills, and a customer-focused approach.
Core Responsibilities
Leasing Coordination
- Respond promptly to leasing inquiries via phone, email, and online platforms.
- Schedule and confirm showings with prospective tenants.
- Assist with rental listings across multiple platforms (MLS, Zillow, Apartments.com, Facebook, etc.).
- Track leads and update leasing status in the property management system.
Application Processing
- Guide applicants through the application process and answer questions.
- Collect and verify required documents (IDs, income, references, etc.).
- Conduct initial screening of applicants and coordinate with Leasing Manager for approval.
- Track application progress and communicate status updates to applicants.
Lease Administration
- Prepare, send, and track lease agreements and addenda.
- Ensure leases are accurate, compliant, and properly executed.
- Maintain lease files and digital records in the property management system.
Tenant & Owner Communication
- Provide clear, timely updates to applicants, tenants, and property owners.
- Assist new tenants with move-in instructions and lease orientation.
- Respond to basic tenant inquiries about leasing terms, renewals, and documentation.
- Escalate complex concerns to the Leasing Manager.
Administrative & Reporting
- Maintain leasing trackers, reports, and digital filing systems.
- Support marketing efforts with listing updates and vacancy ads.
- Assist with rent roll updates, renewal tracking, and lease expirations.
- Collaborate with property management and maintenance teams to coordinate turnovers and move-ins.
Qualifications
- 1–2 years of experience in leasing, property management, customer service, or administrative support.
- Strong communication skills (written and verbal).
- Highly organized and detail-oriented with ability to manage multiple priorities.
- Proficient in Microsoft Office and Google Workspace; experience with property management software (AppFolio, Buildium, Yardi, or similar) is a plus.
- Comfortable learning new platforms and working in a fast-paced environment.
