About the Role

You’ll be the air-traffic controller of transactions — coordinating attorneys, lenders, title, inspectors, HOAs, and municipalities to hit every milestone on time. Your work ensures deadlines are met, files are audit-ready, and clients have a smooth closing experience.

Key Responsibilities include:

  • Offer to Purchase (OTP): Open files, confirm terms, coordinate earnest money deposits, and distribute key dates.

  • Purchase & Sale (P&S): Manage attorney drafts/riders, version control, second deposits, and disclosures/addenda.

  • Contingency Management: Schedule inspections, appraisals, and track mortgage commitments.

  • Title, Liens & HOA Requirements: Coordinate resale docs, estoppels, municipal lien certificates, and payoffs.

  • Repairs/Credits & Access: Facilitate vendor quotes, approvals, and access for inspectors/contractors.

  • Closing Prep: Confirm insurance, coordinate Closing Disclosure (CD), prepare Commission Disbursement Authorization (CDA), and manage key/possession logistics.

  • Post-Close: Archive files, reconcile commissions, update CRM, and request testimonials.

Qualifications

  • 3+ years of residential transaction coordination or brokerage operations 
  • Mastery of MA & NH real estate milestones and documents (e.g., MA 6D, MLC, smoke cert; NH RETT, PA-34, condo resale docs) 
  • Strong document control and contingency tracking skills 
  • Proactive communicator with fast response times 
  • Proficient in DocuSign, Google Workspace, and task/project tools (Asana, Notion, Slack, etc.) 
  • Experience with HOA/condo resale packages (preferred) 
  • Familiarity with repairs/credits workflows and commission splits (nice to have)
