About the Role
This role is responsible for monitoring and responding to maintenance requests that come in during evening hours. The goal is simple: make sure emergencies are handled quickly, vendors are dispatched when needed, and the system is clean and organized for the next business day.
Core Responsibilities
After-Hours Coverage
- Monitor maintenance platforms, inbox, and phone line
- Respond promptly to tenant concerns
- Assess and classify issues as emergency or non-emergency
- Dispatch on-call vendors when required
- Log all actions and updates in the system
Vendor & Tenant Communication
- Coordinate urgent repairs with vendors
- Provide timely updates to tenants
- Track ETAs, confirmations, and job progress
- Maintain clear and documented communication
System & Task Cleanup
- Update ticket statuses in real time
- Close completed work orders
- Follow up on pending or unresolved issues
- Upload invoices and supporting documents
- Prepare end-of-shift summary for the morning team
Escalations
- Escalate high-risk or complex issues to the Director of Maintenance when needed
Requirements
- Experience in property management, maintenance coordination, or similar operations role
- Able to handle urgent situations calmly and efficiently
- Strong written and verbal communication skills
- Highly organized and detail-oriented
- Able to work independently during evening hours (EST-aligned)
- Familiarity with Buildium, Property Meld, or similar systems is a plus
