Here is Green Ocean PM’s side of the Property Meld Dashboard, allowing us to keep track of all melds needing our attention.
A meld is the same thing as a repair. With the five to six hundred plus properties that we manage. Some of these melds are landscaping, cleaning, and other recurring things.
We set every single vendor to have their own filter, so we know that our plumber might have 11 things, or our handyman might have 132. We also prioritize any melds that might be over five days.
#2 We see the progress of our renovations

We see the details of all Active Projects, including the Progress, Start Date, and Due Date.
In the renovation projects, we can see all the different melds that are associated with it. In the Projects section, we can see the melds, the type of work we need to do, the start date, and the due date.
#3 We can contact our vendors, tenants, and landlords

Directly within the Property Meld Dashboard, we can chat with the parties involved to ask for further details such as photos.
The way a meld works is that we get a description of the request, including photos. If ever we need photos to get a better idea of the job required, we can just send a chat to the tenant. For example, “Please send a picture of the window that you need to be fixed.” We can also assign it to just the vendors and tenants, just the vendors, just the tenants, or the owner when we do it.
#4 We have a full track history

In this sample meld, we see Chats, Contacts, Related Melds, and all previous Work Logs.
We can see any related melds or any other work in the past to avoid doing the same thing. We assign each meld to a vendor, and everybody is notified when the vendor accepts the meld. When the vendor schedules it, the tenants are notified immediately, including the landlord and us, the property managers. So we have full transparency along the entire process when it comes to a repair. Our team, the tenants, and the landlord know what’s going on every step of the way. The vendors also send pictures whenever they complete the requested work.
